On October 4, 2023, staffing and workforce solutions leader PeopleShare hosted its landmark annual gathering, Xpert Café 2023, at the Sheraton Valley Forge Hotel in King of Prussia, PA. Bringing together an audience of over 600 prominent business partners, corporate executives, and civic leaders from across the Greater Philadelphia region, the gala affair was headlined by keynote speaker Tim Tebow — Heisman Trophy winner, former NFL quarterback, philanthropist, and motivational speaker.

To bring this high-caliber gala and executive summit to life, Audio Visual Solutions INC. (AVS) engineered and operated the entire technical audio-visual infrastructure from stage design to final broadcast delivery. Our turnkey scope included high-lumen widescreen projection surfaces, dynamic intelligent moving-head lighting, concert-grade acoustic sound reinforcement, 4K multi-camera archival recording, and low-latency live broadcast streaming.

Large-Format Laser Projection & Broadcast Switching: AVS deployed high-lumen 4K laser projection arrays to deliver razor-sharp visual clarity across the grand ballroom. A Blackmagic Design ATEM Constellation 4K live production switcher handled instant, zero-latency transitions between opening remarks from Susan Larson (PeopleShare Director of Marketing), title sponsor presentations by Bethany Adams (Villanova University Director of HR Programs), company milestones presented by Ryan Clark (Co-founder & CEO of PeopleShare), and Tim Tebow’s keynote multimedia.

Dynamic Intelligent Lighting Design: Our lighting engineers programmed moving-head beam and wash fixtures on grandMA3 consoles, delivering dramatic walk-on cues and energetic room lighting. Warm, flicker-free key lighting illuminated the keynote stage and VIP red carpet step-and-repeat banner, ensuring flawless skin tones for the video cameras, photographers, and attendees capturing memories.

Concert-Grade Sound Reinforcement & Wireless RF: Powered by flown L-Acoustics line-array loudspeaker systems and digital sound processing, every attendee in the 600+ seat ballroom experienced crystal-clear vocal projection. Tim Tebow and executive speakers were mic’d with Shure Axient Digital wireless systems utilizing active RF coordination to eliminate interference throughout the keynote address and concluding interactive audience Q&A.

4K Multi-Camera Archival Recording & Live Streaming: A dedicated AVS control room managed a multi-camera broadcast switching package to record the entire gala in high-bitrate 4K ProRes ISO masters. Simultaneously, the program feed was encoded and broadcast over secure, low-latency live streams to allow remote partners and satellite branch teams to participate live in real time.
