Jefferson Health brought its Cardiovascular Congress to the Philadelphia Marriott Downtown on October 23–24, 2026: two days of sessions and panels for 300 attendees in the ballroom and 100 more following online. Jefferson is a repeat client, and its events are always hybrid, so clinicians who can’t make the trip still get the full program.
Built for the room and the stream
We set the room classroom-style facing a panel table and lectern, with two projection screens, each lit by a 10,000-lumen projector, so slides and presenters read clearly from every row. A speaker array covered the ballroom, with stage fill speakers so panelists heard each other as clearly as the audience heard them. Black draping framed the stage and screens, and stage lighting kept speakers bright for the room and for the camera.
The hybrid side
A camera captured the stage for the live stream, so the 100 attendees online followed every session and panel the way the room did. We also ran our own event WiFi: a network for attendees and a separate, dedicated connection for the stream. For Jefferson, the in-person and online audiences are one audience, and we plan the AV around both from the start.
Load-in to show-ready
We loaded in the evening before, turning an empty ballroom into a finished set in one setup window: stage, drape, screens, lighting, audio and the tech table, all tested before the first session. The 360 view below shows the room exactly as we left it, ready for the morning.
