PeopleShare Xpert Café 2023 with Tim Tebow: Event Production at Sheraton Valley Forge

On October 4, 2023, PeopleShare held Xpert Café 2023 at the Sheraton Valley Forge in King of Prussia. More than 600 business partners, executives and community leaders from across the Philadelphia region attended, and Tim Tebow gave the keynote.

Audio Visual Solutions handled the production from start to finish: projection, stage and room lighting, sound, multi-camera recording and a live stream for people who couldn't attend in person.

Screens and switching

We used large-format laser projection so slides and video were easy to read across the ballroom. A live production switcher moved between presenters, video and slides throughout the program, from opening remarks by PeopleShare's Susan Larson, to a sponsor presentation from Villanova University's Bethany Adams, to CEO Ryan Clark's company update and Tim Tebow's keynote.

Lighting

Our lighting team programmed walk-on cues for each speaker, lit the stage so presenters looked natural on camera and in photos, and lit the step-and-repeat banner for guest photos.

Sound

A flown line-array speaker system kept speech clear for all 600-plus guests. Speakers used digital wireless microphones, and we coordinated frequencies ahead of time so the keynote and audience Q&A ran without dropouts.

Recording and live stream

From a control area at the back of the room, we recorded the event on multiple cameras and streamed the program live to remote partners and branch teams.
